The process, step by step

Check if you even need this visa

Many nationalities (US, UK, Canada, Australia, Japan, South Korea, Brazil, and others) are visa-exempt for stays under 90 days โ€” check the full list on netherlandsworldwide.nl. From late 2026, visa-exempt travellers will also need ETIAS authorisation (a separate, lighter process, not a visa).

Find your application centre

Most applicants apply via VFS Global in their country of legal residence. Check netherlandsworldwide.nl for your country's specific centre โ€” some countries use TLScontact or the embassy directly instead.

Gather every document on the checklist

Incomplete files are the #1 cause of delay and rejection. Use the checklist below โ€” tick items off as you collect them.

Book your VFS appointment

Slots can be scarce and fill within minutes in busy periods. The Dutch government recommends applying at least 45 days before travel; for first-time applicants or peak season, 2-3 months is safer.

Attend your appointment

Submit documents, biometrics (fingerprints/photo) if required, and pay the visa fee plus the VFS service charge (varies by country, non-refundable either way).

Track your application

Use the reference number from your submission receipt on the VFS tracking portal. Status moves through: Received โ†’ Submitted to embassy โ†’ Under processing โ†’ Decision ready.

Collect your passport

If approved, the visa sticker is affixed to your passport โ€” check the dates and entry type immediately before leaving the counter. If rejected, you'll get a written refusal letter stating the reason.

Most applicants worldwide submit through VFS Global. They collect documents and forward them โ€” the embassy makes the actual decision.

ETIAS โ€” for visa-exempt travellers from late 2026 โ†’

Not a visa โ€” a separate, lighter authorisation for nationalities that don't need a Schengen visa. Check if/when this applies to you.

If your visa is refused

You'll receive a written refusal letter stating the reason โ€” most commonly insufficient proof of funds, an incomplete file, or doubts about your intent to return home before your visa expires.

Object within 4 weeks (bezwaar)

You can file an administrative objection with the deciding authority within 4 weeks of the refusal date. This is free and doesn't require a lawyer, though one can help for complex cases.

Go to court if still refused (beroep)

If your objection is rejected, you can appeal to a Dutch court. This step usually does benefit from legal advice.

Or simply reapply

Often faster than appealing โ€” pay the fee again, but this time fix exactly what caused the refusal (stronger funds evidence, a complete document set, a clearer itinerary).
